Your AI Agent Needs a Job Description

Imagine hiring a new employee.

You would never point them towards a desk, hand them a laptop, and say, "Just get on with it." You would explain what they're responsible for, who they report to, what success looks like, and when they're expected to step in.

Your AI agents deserve exactly the same treatment.

One of the biggest reasons businesses struggle to get value from AI is because they treat it like magic instead of another member of the team. They expect it to know what to do without any context. Then they're disappointed when the results are inconsistent or unreliable.

The truth is, most AI failures are really instruction failures.

Start with the role

Every AI agent should have a clear purpose.

Instead of asking an agent to "help with sales," define its role more specifically.

For example:

"You are an AI Sales Assistant responsible for qualifying inbound leads, summarising discovery calls, updating the CRM, and suggesting follow up actions."

That simple shift gives the AI a clear identity and objective. It understands where its responsibilities begin and where they end.

List its responsibilities

A good employee knows exactly what's on their to do list. Your AI should too.

Think through the recurring tasks you want it to own.

These could include:

  • Summarising meetings
  • Qualifying leads
  • Drafting emails
  • Prioritising support tickets
  • Updating project statuses
  • Creating reports
  • Scheduling follow ups

The more specific you are, the less guessing your AI has to do.

Tell it when to act

This is the step many people forget.

An AI agent should not jump into every situation. It should know the conditions that trigger its involvement.

For example:

  • When a new lead enters the CRM, create a summary and recommend the next action.
  • After every discovery call, generate meeting notes and action items.
  • If a project misses a deadline, notify the project manager.
  • If a support ticket is marked urgent, prepare a response draft for review.

These triggers help your AI become proactive instead of reactive.

Define the boundaries

Just as important as knowing when to act is knowing when not to.

Your AI should understand what requires human approval.

Maybe it can draft proposals but not send them.

Maybe it can recommend discounts but cannot approve them.

Maybe it can identify risks but leaves the final decision to a manager.

Clear boundaries build trust and reduce mistakes.

Explain what success looks like

Great employees work towards measurable outcomes.

AI should too.

Instead of simply saying, "Handle customer enquiries," define the goal.

Perhaps success means:

  • Every customer receives a response within five minutes.
  • Meeting summaries are delivered within ten minutes of the call ending.
  • Every qualified lead is assigned before the end of the day.
  • Reports are generated every Monday morning before 9am.

These expectations give your AI something concrete to work towards.

Think of AI as part of the team

The businesses seeing the biggest gains from AI are not replacing people with technology.

They're building teams where humans and AI each have clearly defined responsibilities.

The AI takes care of repetitive, time consuming work.

People focus on creativity, relationships, strategy, and decision making.

When everyone knows their role, the whole system runs more smoothly.

Better instructions create better outcomes

If your AI agent feels unreliable, don't assume the technology is the problem.

Take another look at the instructions.

Does it have a clear role?

Does it know its responsibilities?

Does it know when to step in?

Does it know when to hand work back to a human?

Giving your AI a proper job description might seem like a small exercise, but it can be the difference between an agent that creates extra work and one that genuinely saves your team hours every week.

Because the best AI agents are not the ones with the most advanced models.

They're the ones with the clearest instructions.
